 Copyright, Privacy, Social Media and Talent release policies

Over the years, the Club has generated a large amount of multimedia and text, and has had over 250 people come through our doors and provide necessary personal information. The Club takes its role as the repository of this information seriously, as it does its commitment to open-source information and the project of providing quality information regarding martial arts to the wider public.

The two policy statements on this page represent the Club’s official stance on these matters.

Personal Information and Privacy

  1. The Club is bound by the University of Southern Queensland’s policy and relevant legislative obligations regarding the collection, storage and dissemination of Club-held member personal information.

  2. The Club will request personal information including but not limited to demographic details, contact details, emergency contact details, relevant medical history, past training history, and financial details.

  3. Individuals who fail to provide or falsify requested information may be excluded from participating in classes or from the Club.

  4. Personal information will be stored in secured electronic and/or physical repositories and be accessed by Club Executive members and relevant Instructors.

  5. Personal information will not be disclosed to a third party unless obliged to do so under USQ policy or legal obligation.

  6. A Club member who gains unauthorised access to to personal information will be subject to sanction that may include but is not limited to exclusion from the Club, formal procedures being initiated with the University, or legal proceedings.

  7. Where notified, the Club will take care to exclude the release of an individual’s image captured at a Club event where there exists a privacy concern. This includes the use of that image in promotional materials, social media posts and training materials. Said images may be digitally altered to obscure the identity of the individual in cases where the individual cannot be reasonable excluded.

Media release, copyright and intellectual property

  1. All material produced by the Club, including video, still image, audio recording and text is licensed under Creative Commons 4.0 BY and NC conditions. This includes anything held on the Club’s website, social media, off line electronic storage, in print.

  2. Any copyright material donated to the Club unless covered a by pre-existing arrangement or formal statement copyright ownership by a third party will be considered the Club’s intellectual property and likewise become subject to the CC 4.0 BY NC licence.

  3. Club Members by default provide enduring consent to use their image for promotional purposes. This provides a blanket inclusion while a financial member of the Club if their image is captured at a regular Club training or special event such as a demonstration, seminar, or social event.

  4. The Club does not engage in historical revisionism. Materials created as part of the historical record of the Club will always be retained as part of the Club’s intellectual property. They are not subject to erasure from the Club’s archive or limited for the Club’s use.
